Nicole Hawkes - Caswell Farm & Wedding Barn Event Coordinator
We are excited to have Nicole Hawkes with us at Caswell Farm & Wedding Barn as our day-of event coordinator. Nicole has a strong history in the hospitality industry along with 7 years of experience as the assistant manager and rooms director for 3 luxury boutique hotels in Camden, Maine. She has years of customer service experience and an eye for detail that she can’t wait to put to use in planning your special day.
Caswell Farm & Wedding Barn does require that all events enlist day-of coordination service, at a minimum, to ensure that the details of your event are executed effortlessly. Trust us when we tell you it’s the best gift you can give yourself!
Event Planning Services
Day of Coordination $2,100
For the couple who have lovingly planned every detail of their big day, but want to relax and enjoy it once the day comes! For this package, you will secure your vendors and outline the desired timeline for your day. The day of coordinator will provide consultation, organization and time management of your event plans, (checklists and reminder emails!) secure your vision for the ceremony and reception (set up of tables and chairs) welcome and communicate with vendors throughout the day, and manage the timing of events throughout your celebration. The Event Coordinator will reach out with a video call 30-45 days prior to your event and be available for 8 hours of service the day of your event.
Wedding Management $4,150
For the couple who wants early access to a professional to help them navigate the planning process, while flawlessly executing their timeline and personal design. This package includes everything from our Day of Coordination services as well as providing assistance reviewing your contracts and rental details as soon as you have booked them. Also sending your timeline to all your vendors, and working with your vision to execute your personal design details and tablescape, as well as consolidation of rentals and decor at the end of the night. Let your family and friends be present and enjoy the day with you! We will reach out with a video call at least 2 months prior to your event and be available for the duration of your event, start to finish.
(For Rehearsal/Welcome Party management add an additional $1,000)
Day of Coordination $2,100
● Work with your questionnaire to create a timeline for your day
● Review Caswell Farm & Wedding Barn rental details with you prior to your event (package reminders)
● One scheduled video call to review your timeline
● Send email reminders and checklists
● Provide 8 hours of service day of your event (typically 2pm-10pm)
● Welcome and communicate with vendors throughout the day
● Cue DJ/musicians and your wedding party during the ceremony
● Deliver gratuities to vendors
● Assistance with a rehearsal prior to the wedding (no longer than one hour of service)
Wedding Management $4,150
● Work with your questionnaire to create a timeline for your day
● Review Caswell Farm & Wedding Barn rental details with you prior to your event (package reminders)
● 2-3 scheduled video calls to review your timeline and plan your decor
● Send email reminders and checklists
● Available for the entire day of your event start to finish (typically on site for vendor arrivals and/or 1pm- event end)
● Welcome and communicate with vendors throughout the day
● Cue DJ/musicians and your wedding party during the ceremony
● Deliver gratuities to vendors
● Sending timeline to all vendors one month out
● Assistance in executing tablescape/personal decor and decoration details (tablecloths/runners/candles/table numbers etc.)
● Consolidation of rentals and decor at end of event
● Secure gifts and cards to a predetermined location
● Assistance with a rehearsal prior to the wedding (no longer than one hour of service)
